Job Description

Provides secretarial/administrative support to Senior Vice President/Chief Operating Officer and departmental staff leaders, exercising confidentiality, tact and diplomacy. Keeps executive on track of meetings and tasks; follow-up on actionable items. Proactively anticipates executive needs (e.g. planning for staff meetings). Provides comprehensive administrative support with teamwork and collaboration skills while maintaining confidentiality to the senior executive and department staff to facilitate achievement of departmental operating objectives. Maintains schedules and records for executive and ensures that the general operations of the department are orchestrated in a smooth manner.

Position Description

  • Maintains files, records, calendars and diaries; typically arranges business travel, coordinates meeting arrangements and tracks expenses
  • Performs department financial reconciliations; (i.e. PCard, Accounts Payable, Concur Travel for executive, directors and their teams)
  • Uses business software applications with expertise (e.g. word processing, presentations and spreadsheets) to prepare correspondence, reports, presentations, agendas, minutes of meetings, etc.
  • Coordinates Reunion/trade show activities for the team; housing, scheduling, coordinating meeting room requirements (i.e. food, beverage, AV equip, coordinating group dinners, booth coordination)
  • Receives, screens and directs incoming calls, visitors, mail and e-mail
  • Other/Miscellaneous - Departmental - specific tasks and projects as assigned

Position Qualifications

Minimum Type and Years of Related Experience Required:

  • Five to seven years of related experience required
  • Attention to detail with poise, presence of mind and overall pleasantness
  • Productivity toolkit – includes deep technical skills in Powerpoint, Excel, Word, Microsoft Office; design and use of effective work templates; ability to work at a basic level in office systems including telecommunications, projection, conferencing etc.
  • Strong communication skills – written, verbal
  • Strong anticipation – placing themselves in the calendars of executives and team members to proactively identify upcoming needs and find ways to prepare in advance
  • Ability to engage with the executive and team. Professional, clear, articulate, open to feedback and looking to continually improve and upgrade skills. Focus on getting priorities done with high level of organization and preparedness
  • Strong customer service, project management and time management skills
Minimum Education Requirements:
  • Bachelor's Degree or equivalent work experience
