Job Description

True Value Company, a global wholesaler serving retail locations in 60 countries, has an immediate need for an Executive Administrative Assistant.

You will provide administrative support to Human Resources including VP, DVP and Directors and departmental staff members, exercising confidentiality, tact and diplomacy. Keep executive on track of meetings and tasks and follow-up on actionable items. Proactively anticipate executive needs (e.g. planning for staff meetings). Provide comprehensive administrative support with teamwork and collaboration skills while maintaining confidentiality to a senior executive and department staff to facilitate achievement of departmental operating objectives. Maintain schedules and records for executives and ensure that the general operations of the department are orchestrated in a smooth manner.

Position Description

Essential Duties and Responsibilities (in order of importance):

  • Maintain files, records, calendars and diaries; typically arranges business travel, coordinates meeting arrangements and tracks expenses for VP HR, DVP Talent & Rewards and HR Directors.
  • Performs department Financial Reconciliations; (i.e. PCard, Accounts Payable, Concur Travel for executive, directors and their teams).
  • Uses business software applications (e.g. all Microsoft Office products) to prepare correspondence, reports, presentations, agendas, minutes of meetings, etc.
  • Coordinates Reunion activities for the team; housing, scheduling, coordinating meeting room requirements (i.e. food, beverage, AV equip, coordinating group dinners, booth coordination).
  • Other/Miscellaneous - Departmental - specific tasks and projects as assigned.
    • Partners with HR Shared Services team and HR Leaders in planning, organizing and preparing all materials for Annual Talent Review process.
    • Coordinates agenda, materials, presentations and all details for Quarterly HR Townhall meetings.
    • May also provide support other associate activities such as Bring Your Child to Work Day including the planning, designing and execution.
    • Manages all supplies for department and keeps department organized.
  • Receives, screens and directs incoming calls, visitors, mail and e-mail.

Position Qualifications

Work Experience:

  • Five to seven years of related experience required
  • Previous executive administrative experience in HR
  • Exceptional organizational skills
  • Skilled at managing multiple demands from multiple individuals
  • Project management skills a must; previous experience with either using Excel or Microsoft project
  • Ability to carry, lift, pull or push up to 20 pounds
Education:
  • High school diploma or equivalent work experience
